How to send out e-mails from Merit Aktiva using Private SMTP server

Use a private SMTP server
Before configuring SMTP, you need to find out from your service provider or IT support what your SMTP server name, mailbox username, and password are.
The ports are usually 465 (encryption method SSL) or 587 (encryption method TLS). Merit Aktiva requires the use of TLS version 1.2 or later when using TLS.
For more precise settings, it is recommended to consult your email service provider.
NB! Some major free email service providers require the use of an "App Password" when setting up SMTP in third-party programs (including our software). These providers include Gmail, Yahoo Mail. In Estonia, mail.ee also uses this method.
An example of how to create an "App Password" in Mail.ee and Gmail is provided at the end of this guide.
If you're worried about running into trouble, ask your IT support or someone knowledgeable to generate the necessary app passwords for you and configure the required fields correctly in Merit Aktiva email settings.
NB! Each service provider imposes limits on how many emails you can send within a certain time period when using their service. The time units vary — some providers limit emails per minute, per hour, per day, or use a combination of these. Some service providers (especially with paid plans) may allow you to increase these limits upon request.
This information is important to know, for example, when sending invoices or reminders in bulk from Merit Aktiva.
The server settings of the most common email service providers in Estonia to be entered into the Merit Aktiva program (subject to change over time).
You need to know who the service provider is for your email address. Attempting to send emails through the wrong service provider will not succeed.

Creating an App Password in Mail.ee
Log in to your Mail.ee account via the web at https://mail.ee. Click on your profile picture or username in the upper-right corner and choose „Email options“ from the dropdown menu.
From the left-hand column of the opened view, select “Outlook, email programs”.
You will now see a view on the right side where you should click “Enable”.
A new window will open where, instead of x, you will see the App Password, which needs to be entered into the “Password” field in the email settings of Meriti Aktiva.
Next, you can click “Ok” and close the Mail.ee environment.
Creating App password in Gmail
To create an App Password, you must first activate two-factor authentication (2FA).
After you have checked if your „FA is activated or you have successfully activated it, follow next link:
When password is asked, choose first right account you want to create this app password ori f correct one is seen, enter your normal Gmail account password:
Now choose right account from the list ori f not listed „Use another account“
Enter your normal Gmail account password.
Create a new „app“ and name it as you like, in this case we named it „Aktiva“ and push the button „Create“
A special password consisting of 16 characters will be generated for you. You need to copy this password into Merit Aktiva, but before pasting it into the Merit program, you should first paste it into a program like Notepad. This is because otherwise spaces appear between the groups of characters, and there must be no spaces in the password. In Notepad, you can remove these spaces and then copy the password from there into the password field of Merit Aktiva email settings.
NB! Once you click the “Done” button, you will never see this password again. If you need another App Password for any reason, you can create a new one here.
NB! Changing your Google account’s main password deletes all existing App Passwords, and you will need to create new ones and enter them into the required programs.
